Chain of Custody Process — How We Track Your Equipment

Chain of Custody Documentation

From the moment we pick up or receive your equipment, every item is tracked through a documented chain of custody. This ensures complete accountability and audit-ready records for your compliance needs.

The Process

  1. Scheduling — Pickup scheduled through our system. Deal record created in our tracking system with your company information.
  2. Pickup / Receiving — Equipment collected and inventoried on-site or at our facility. Each item logged with make, model, serial number, and condition. Photos taken.
  3. Manifest Generation — A detailed manifest is automatically generated listing every item received. This document is your proof of transfer.
  4. Chain of Custody Signing — The manifest is sent to you via Zoho Sign for digital signature. Both parties sign, creating a legally binding record of custody transfer.
  5. Processing — Equipment is processed according to your selected service (data destruction, recycling, or refurbishment). Status updates visible in your customer portal.
  6. Certificate of Destruction — Upon completion, a signed Certificate of Destruction is issued for all data-bearing devices.
  7. Final Report — Complete processing report available in your customer portal with all documentation downloadable at any time.

Accessing Your Documents

All chain of custody documents, manifests, and certificates are available through your TechHaulers Customer Portal. Log in at any time to:

  • View and download manifests
  • Check processing status of your equipment
  • Download Certificates of Destruction
  • Access compliance documentation
  • View and pay invoices
