How We Protect Your Data — Security & Chain of Custody
How We Protect Your Data — Security & Chain of Custody
When you hand over electronics containing sensitive data, you need to know it's in safe hands. At TechHaulers, data security isn't an afterthought — it's built into every step of our process, from the moment we pick up your equipment to the moment you receive your Certificate of Destruction.
Our Data Security Process
Step 1: Secure Pickup
- Our team arrives at your location at the scheduled time
- All equipment is inventoried on-site — serial numbers, asset tags, and descriptions are recorded
- Items are loaded securely into our vehicle
- You receive a pickup receipt confirming what was collected
Step 2: Secure Transport
- Equipment is transported directly to our processing facility in Fort Mohave, Arizona
- Chain of custody is maintained from your door to our facility — no third-party stops or handoffs
- All items remain tracked and accounted for throughout transit
Step 3: Intake & Logging
- Upon arrival at our facility, every item is logged into our secure intake system
- Data-bearing devices are flagged and segregated for destruction processing
- Each item is tracked with a unique identifier through our system
Step 4: Data Destruction
Depending on the device type and your requirements, we perform one or more of the following:
- Software-based wiping — Multi-pass overwrite following NIST 800-88 Clear/Purge guidelines
- Cryptographic erasure — For self-encrypting drives (SEDs) and SSDs, per IEEE 2883-2022
- Physical destruction — Shredding or disintegration for devices that cannot be reliably wiped
Every destruction method is documented with the technique used, date performed, and technician responsible.
Step 5: Certificate of Destruction
- You receive a formal Certificate of Destruction for each data-bearing device
- Certificates include serial numbers, destruction method, date, and compliance standard followed
- Certificates are delivered electronically via Zoho Sign for secure, verifiable documentation
- These records support your regulatory compliance (HIPAA, SOX, FACTA, state privacy laws)
Chain of Custody — What It Means
Chain of custody is the documented trail that proves your equipment was handled securely at every stage. Our chain of custody includes:
- 📋 Pickup manifest — What was collected, when, and from where
- 🚚 Transport log — Direct route to our facility, no intermediate stops
- 📦 Intake record — Itemized logging upon facility arrival
- 🔒 Destruction record — Method used, date, technician
- 📄 Certificate of Destruction — Final documentation for your records
